The Assistant Director of Stewardship is responsible for assisting in the design, implementation and coordination of an institution-wide comprehensive stewardship system that appropriately and consistently promotes interaction with and recognition of donors at all levels.

In addition, the position must foster and sustain positive and mutually-rewarding relationships between the University and its donors; partner with the Director of Stewardship, Foundation Leadership, Development Directors, Annual Giving, Events and Gift Processing team members, IT staff and campus partners to assist in implementing the best strategies for effective stewardship of donors; maintain ongoing communications with internal and external constituencies.

Successful candidate will use a strong donor relations background to support the Director and key partners in strategy development messaging and outreach to meet constituent needs. Duties and Responsibilities:

  • Assist the Director in designing, documenting and implementing a comprehensive donor relations program
  • Assist the Director in writing gift acknowledgements and monitoring the gift acknowledgement process for donors who give over $10,000
  • Maintain tracking of all stewardship for top tier donors
  • Provide high-level management of the scholarship thank you letter process
  • Build and oversee a mid-tier stewardship program for donors who give gifts in the $5,000-$9,999 range
  • Oversee stewardship activities for President’s Club members ($1,000+ annually)
  • Assist the Director with enhancing and building out the structure and oversight of giving societies
  • Assist with maintaining and tracking against campus naming opportunities
  • Assist with on-going data management within UMF’s CRM system
  • Partner with the events coordinator on top tier donor stewardship events
  • Assist onsite at events as needed, may include travel
  • Manage the stewardship gift closet
  • Communicate and collaborate internally to help recognize and steward major gifts
  • Proactively support the Director of Stewardship and Directors of Development by assisting them in establishing and coordinating individualized stewardship plans for donors to their units/colleges

  • Must be able to generate and research creative solutions for stewarding donors in order to advance the University’s efforts to maintain and strengthen high-quality individual relationships with donors
  • Strong grasp of development for thanking donors through a variety of mediums
  • Build good working relationships with internal and external partners and customers, and with donors
  • Must be detail oriented, well organized, focused and goal-oriented, with a high level of initiative and energy is essential
  • Ability to deliver quality customer service
  • Commitment to the mission, vision, and core values of the UM Foundation
  • Excellent oral and written communication skills necessary to deal effectively with donors and staff regarding sensitive issues
  • Adept at problem solving and using judgment in situations requiring independent initiative and tact
  • Ability to meet deadlines, set priorities and handle multiple projects simultaneously in a rapidly moving environment.
  • Proven skills and ability to manage multi-phase projects from inception to completion, including the ability to build consensus among team members and balance multiple concurrent priorities
  • Proven skills with Microsoft Office applications including Word, Excel, Outlook, and PowerPoint. Experience with Banner of other CRM software a plus
  • Exceptional attention to quality and detail
  • Demonstrated flexibility, tact, approachability, responsiveness and ability to collaborate
  • Strong social skills including ability to effectively communicate in meetings and establish rapport with many people
  • High level of maturity and personal integrity in the use of confidential materials.

  • Ability and willingness to work flexible hours to meet changing demands and help with special projects and events
  • Bachelor’s degree
  • 2-3 years experience in donor relations with a proven track record in the effective implementation of a new programs/systems 
  • Previous experience interacting with donors is mandatory
